What cabling does a modern hotel need?
A modern hotel needs cabling for more systems than most people expect. Here is a breakdown by area and system type.
The exact cable type depends on the building, the distance between the IDF closets and the farthest drops, and whether the hotel is planning for Wi-Fi 6 or Wi-Fi 7 access points. Cat6A supports 10Gbps and handles PoE++ without overheating, which makes it the right choice for access point runs and any location where the cable might need to carry power and data for the next 10 years. Cat6 still works well for standard workstation drops, POS terminals, and VoIP phones where 1Gbps is enough.
Fiber optic backbone cabling connects the MDF to each IDF closet on every floor. In a multi-story hotel, this is what carries data between floors. For properties that span multiple buildings, think a hotel with a separate conference center or pool house, fiber is the only realistic option for those longer runs. How do hotels rewire cabling without disrupting guests?
The short answer: phased, floor-by-floor rollouts with after-hours scheduling and close coordination between the cabling team, hotel management, housekeeping, and any general contractor running the renovation.
A full hotel rewiring project does not happen all at once. It gets broken into phases based on floors, wings, or renovation stages. A typical approach looks like this:
Phase 1: Telecom closet prep. Before any cable gets pulled, the MDF and IDF closets need to be evaluated. Are the racks in good shape? Is there room for new patch panels? Is the power and cooling adequate? This step often uncovers the need for a data closet cleanup before new cabling can even begin.
Phase 2: Backbone cabling. Fiber runs between the MDF and each IDF closet go in next. This is the backbone that everything else depends on, and it is easier to install before horizontal runs fill up the pathways.
Phase 3: Floor-by-floor horizontal pulls. The cabling crew works one floor or wing at a time. In an occupied hotel, this means coordinating with the front desk to block rooms for access, scheduling hallway work during low-traffic hours, often between 10 PM and 6 AM, and making sure all ceiling tiles are replaced and debris is cleaned before the first guest walks by in the morning.
Phase 4: Termination, testing, and labeling. Every cable gets terminated at both ends, Fluke-tested for performance certification, and labeled with a clear identification scheme. This is not optional. In a hotel with hundreds of runs, unlabeled cables turn the next troubleshooting call into a guessing game.
Phase 5: System cutover and documentation. The new cabling gets connected to switches and devices, the old cabling gets decommissioned, and closeout documentation goes to the hotel’s IT team or management company.

Why is floor-by-floor cabling important during hotel renovations?
Floor-by-floor execution protects hotel revenue and guest experience at the same time. If a renovation crew tries to cable an entire hotel at once, it means hallways on multiple floors are disrupted, telecom closets on every level are open and in transition, and the risk of a system-wide outage goes up.
Working one floor at a time keeps the disruption contained. The floors above and below stay fully operational. The guest Wi-Fi on those floors stays live. The PMS keeps running. If something goes wrong during a cable cutover on the third floor, only the third floor is affected.
This is especially relevant in DFW Airport corridor hotels in Irving and Grapevine, where occupancy stays high year-round because of business travel and connecting passengers. A hotel near the airport cannot afford to take two or three floors offline simultaneously. Floor-by-floor execution also gives the hotel’s operations team time to verify each section before moving to the next. Did all the APs on the fourth floor come online? Are the PMS drops at the front desk working after the backbone cutover? Catch problems floor by floor instead of discovering them building-wide on the last day.
What cabling supports guest Wi-Fi access points?
Guest Wi-Fi access points in a hotel are typically mounted in hallway ceilings or in-room, depending on the property’s design and the wireless coverage plan. Each access point needs a dedicated Cat6A cable run back to the nearest IDF closet.
Why Cat6A? Two reasons. First, modern Wi-Fi 6 and Wi-Fi 7 access points can push more than 1Gbps of throughput, which means the cable feeding them should support 10Gbps to avoid becoming a bottleneck. Second, most commercial-grade APs are powered over Ethernet (PoE or PoE++), and Cat6A handles higher wattage with less heat buildup than Cat6 over long runs. In a hotel hallway where the cable might run 200+ feet back to the IDF closet, that heat difference matters.
AP placement in a hotel is different from an office. In an office, APs usually go in the open ceiling of a workspace area. In a hotel, they go in narrow hallways where signal has to reach through guest room walls on both sides. Spacing is typically every 30 to 40 feet in hallways, with additional APs in high-density areas like conference rooms, lobbies, restaurants, and fitness centers.
Each AP location needs a cabling pathway from the hallway ceiling back to the IDF closet on that floor, plus a wall-mount bracket or ceiling enclosure. If the hotel’s existing ceiling does not have conduit or open pathways, the cabling contractor needs to assess what is available and plan the route before pulling cable. How should PMS and POS cabling be planned?
PMS and POS systems are the operational backbone of a hotel. The PMS handles reservations, room assignments, billing, guest profiles, and often integrates with door lock systems, housekeeping apps, and revenue management tools. POS terminals handle restaurant transactions, bar tabs, gift shop sales, and room charges. If either system goes down, the front desk and food service staff are working blind.
That is why PMS and POS cabling should be treated differently from guest Wi-Fi cabling. Here is how:
Dedicated drops. PMS workstations and POS terminals should each have their own dedicated Cat6 data drops, not shared connections piggybacking off guest Wi-Fi or general office network ports. This keeps PMS traffic isolated, which improves both reliability and security.
VLAN separation. Even though all the cables might terminate in the same IDF closet, the switch configuration should place PMS, POS, guest Wi-Fi, staff Wi-Fi, and security cameras on separate VLANs. The cabling plan needs to account for this by ensuring each system’s drops are clearly labeled and documented so the network engineer can assign VLANs correctly.
Redundancy at the front desk. The front desk is the single most critical point of network failure in a hotel. If a cable fails at the front desk, the PMS goes dark. We recommend at least one spare drop at every front desk workstation position, plus a backup path to the IDF closet if the primary pathway has any single point of failure.
POS in food service areas. Restaurant and bar POS terminals need clean, protected cable runs. Kitchens generate heat, grease, and moisture that can damage cables over time. Runs to kitchen printers and POS stations should be in conduit or protective pathway wherever they pass through food preparation areas.

Fiber backbone. Fiber runs between MDF and IDF closets on different floors add cost, but they are necessary for any hotel with more than two or three floors. The cost depends on the number of strands, the run distances, and whether the fiber needs to be spliced or terminated with connectors.

We have seen these mistakes on hotel cabling projects across DFW. Every one of them is avoidable with proper planning.
Running guest Wi-Fi and PMS on the same cable drops. This creates a single point of failure and a security risk. If a guest’s device floods the network, it should not be able to affect the PMS. Separate drops, separate VLANs, separate switch ports.
Skipping cable testing. Every cable run should be Fluke-tested and certified before it goes live. We have pulled into hotels where previous contractors left untested cables that failed at 250 MHz, fine for Cat5e, but a dead run for Cat6. Testing catches these problems before they turn into guest complaints.
Not labeling cables. In a hotel with 400+ runs across multiple floors and telecom closets, unlabeled cables are a nightmare. The next technician who opens that IDF closet, whether it is six months or six years later, needs to know exactly which cable goes where.
Underestimating Wi-Fi AP density. Hotels are not offices. Walls between guest rooms block signal. Hallways are narrow. Conference rooms fill up with 200 devices during a single event. If the AP count is based on square footage alone without accounting for wall types and user density, the Wi-Fi will underperform from day one.
Trying to reuse old cable for new systems. Cat5e can technically run a 1Gbps connection, but it cannot handle PoE++ or support 10Gbps for future Wi-Fi APs. If the hotel is investing in a renovation, pulling new Cat6A for AP runs is the smarter long-term move.
Ignoring the IDF closet condition. A brand-new cable run terminated into a dirty, overcrowded patch panel in a hot closet will not perform well. The closets need to be part of the plan, not an afterthought.
